If your guest count changes after booking a 2027 Antalya wedding, the price, event space and guest-room plan may all need to change. A smaller wedding does not automatically produce a smaller bill, and a larger one is not automatically possible.
The outcome depends on three numbers in your resort contract: the attendance used for the original quotation, any minimum number you have agreed to pay for, and the deadline for confirming the final count. A resort may be able to accommodate changes above or below the estimate, but the written agreement determines the financial consequences.
Published Antalya resort offers show why this matters. Akra Antalya currently advertises an Asmani wedding campaign with a minimum of 100 guests and another summer wedding campaign with a minimum of 400. Calista Luxury Resort publishes approximate Sapphire package prices at 30, 50 and 100 guests, while explicitly saying the final price depends on the exact attendance, date and menu. These are current published examples, not guaranteed terms or prices for a 2027 booking. Akra's Asmani offer and Calista's Sapphire package illustrate two different reasons to establish the guest-count rules before signing.
Before paying the deposit, ask what happens if your planned 120 guests become 90 - and what happens if they become 140. You should receive two clear answers, not a general promise of flexibility.
Four Guest Counts Can Appear in One Wedding Booking
Couples often use the phrase "our guest count" as though it means one number. A resort proposal can use several, and each serves a different purpose.
| Number | What it does | Why it matters after booking |
| Estimated attendance | The working figure used to select a space and prepare the initial quotation. | It can change as invitations and travel plans develop, but it may not determine the final invoice. |
| Minimum guarantee | The number of guests or spending level the couple commits to pay for, if the contract includes one. | A lower turnout may not reduce the contracted minimum. |
| Final guaranteed count | The confirmed number supplied by the contract's specified deadline. | It may become the catering or billing figure even if fewer people attend. |
| Actual attendance | The people who arrive on the wedding day. | It is important for operations, but it is not necessarily the number used for payment. |
Ask which of these numbers your resort uses, when each becomes binding, and whether there is an agreed adjustment range. Not every hotel uses the same terminology or the same deadline.
If 120 Guests Become 90, Will the Wedding Cost Less?
Possibly, but there are three common reasons the reduction may be limited. First, the couple may have guaranteed a higher number of covers. Second, the price may include fixed venue, technical or production costs that do not fall when 30 people withdraw. Third, the original package or promotional benefit may have required a minimum attendance that the new number no longer meets.
Consider a hypothetical 120-guest booking that later falls to 90. The resort might agree to reduce the catering order, while still charging for an agreed minimum of 100 guests. Another resort might reissue the whole package quotation because the original price depended on a different guest tier. The contract and the revised written proposal decide which applies; neither outcome can be assumed.
Ask the hotel to itemise the revised amount rather than merely reporting a new total. You want to see the number of covers now charged, fixed event costs that remain unchanged, any lost package benefits and the treatment of payments already made.
Akra's Published Offers Show Why a Threshold Matters
Akra Antalya currently publishes different minimums for different wedding campaigns. Its Asmani campaign specifies at least 100 guests, and its summer wedding campaign specifies at least 400. These are conditions of those particular published offers, not general minimums for every wedding at Akra or confirmed terms for 2027.
Suppose a couple initially qualifies for a 100-guest offer but later expects 92 attendees. They should not assume the resort will preserve the original campaign, or that it will withdraw every benefit. They should ask for the exact consequence: whether a minimum payment still applies, the couple must switch to a different package, or the hotel will offer a written exception.
A special-room benefit, included cocktail or other campaign extra may also depend on the contracted threshold. Count changes can therefore affect more than the price of eight dinners.
Calista Shows Why Per-Guest Arithmetic Is Not Enough
Calista's current Sapphire wedding page gives approximate starting prices for 30, 50 and 100 guests, but says the final price depends on the date, exact guest number and menu requirements. The published starting-price basis is also tied to a wedding group staying at the resort for a minimum of seven nights; accommodation is excluded, and a Day Use fee applies to guests staying at other hotels.
That structure makes a simple "ten fewer guests times the menu price" calculation unreliable. A revised wedding quotation may need to account for a different package tier, a changed menu, the room arrangement and the number of attendees staying elsewhere.
The sensible request is an updated combined event-and-accommodation quotation. Do not treat a public package example as an agreed unit price for every guest added or removed.
What If Your Guest Count Rises After Booking?
An increase can create an operational problem before it creates a catering problem. A space that comfortably holds 90 guests for a seated dinner may not fit 120 with a dance floor, stage, band and weather-backup layout.
Akra's published Asmani Restaurant Terrace, for example, lists a gala layout of 100 people and a larger cocktail capacity. That illustrates why event capacity must be checked for the actual layout, not just against the property's headline maximum.
When numbers rise, ask the hotel to confirm the revised seated capacity, availability of additional tables, service and kitchen capacity, any extra production or staff costs, and whether the contracted indoor backup can take the larger group. If the venue must change, request the replacement space, revised price and privacy arrangements in writing before sending more invitations.
Separate Wedding Attendance from Hotel Bedrooms
More wedding guests do not necessarily mean more hotel rooms. Some arrivals may be local or already staying elsewhere; a reduced guest list may still contain the same families sharing rooms.
Titanic Deluxe Lara's current event enquiry form asks for the event headcount and number of bedrooms separately. Couples should preserve that distinction after booking too.
When you notify the resort about a change, provide both the revised number attending the wedding and the revised room requirement by night. Confirm whether unused rooms can still be released, whether the couple guarantees any unbooked accommodation, and whether extra rooms are available at the original rate. Reducing the guest list does not automatically cancel an accommodation commitment.
Guests Staying Elsewhere Can Change the Access Bill
Imagine attendance stays at 120, but ten relatives move from the wedding resort to a hotel nearby. The reception headcount has not changed; the resident/non-resident split has.
At an all-inclusive resort, that can matter. Calista currently states that a Day Use fee applies to wedding guests staying in other hotels. Another resort may offer event-only entry under different terms. Ask the property to update the resident and outside-guest lists separately, along with any access fee or group-stay condition. Do not assume that an unchanged wedding headcount means an unchanged total cost.
One Guest Count May Not Work for a Three-Day Wedding
The Friday welcome dinner, Saturday wedding and Sunday farewell brunch may each have different numbers. A guest attending only Saturday should not automatically be included in all three catering orders or access arrangements.
| Event | Number to confirm | What can change the bill |
| Welcome dinner | Guests attending Friday, including those arriving early from abroad. | Separate menu guarantees, venue minimum and non-resident access terms. |
| Wedding ceremony and reception | Attendees by adult, child and any other contracted catering category. | Guaranteed covers, menu choice, venue layout and Day Use fees. |
| Farewell brunch | Sunday attendees, distinguishing hotel residents from returning visitors. | Private-event charges, restaurant arrangements and any fresh entry fee. |
Use a separate headcount for each function. It makes the revised quotation more accurate and reduces the risk of paying for absent guests twice.
Children, Suppliers and Late Arrivals Need Defined Counting Rules
A headcount change is not always one adult added or removed. The resort needs to know whether children receive separate menus, whether young children count toward seating capacity, and whether a photographer, band or other external supplier requires a meal or entry arrangement.
Ask for the categories that the hotel actually uses in its proposal. Do not assume a child is free, a supplier meal has no charge, or a late-arriving guest can be accommodated without affecting the final guarantee. Food allergies and other dietary requirements should be updated alongside the count; they are operational details, not substitutes for a properly revised guest guarantee.
Find the Final-Count Deadline Before Sending Invitations
A resort may accept estimate changes for months and then require a final guaranteed count at a specified point before the event. Public pages reviewed from Akra, Calista and Titanic do not establish one universal Antalya deadline for final wedding attendance. The exact 2027 date must come from your contract.
Work backwards from that deadline. Set your RSVP date early enough to follow up on unanswered invitations, reconcile the rooming list and allow the resort to issue a final event order. Ask when the guarantee becomes non-reducible, when extra guests stop being automatically accepted, and how late corrections to dietary requirements can be submitted.
Never tell guests that the hotel's final-count deadline is your RSVP deadline. You need a buffer to turn replies into a reliable number and an agreed seating plan.
Keep Every Guest-Count Amendment in One Written Record
Updating the event coordinator by phone may be convenient, but the revised number should also appear in a dated written confirmation. A simple change record prevents the banquet team, room-reservations team and accounts department from working from different versions.
| When numbers change | What to request from the resort |
| Attendance decreases | Revised billable count, any unchanged guarantee, retained fixed costs and affected package benefits. |
| Attendance increases | Written capacity confirmation, additional-cover price, revised layout and backup-space capacity. |
| Resident/outside split changes | Updated room allocation, room-release status, visitor access and Day Use calculation. |
| Multi-day attendance changes | Separate updated counts and catering/access charges for each event. |
| Final count is submitted | A dated event order showing all agreed numbers, menus, spaces and the resulting balance. |
The amended documents should say which version replaces the previous one. If the hotel revises the price, ask it to distinguish the change caused by attendance from unrelated changes in decor, hours or other services.
Model a Lower, Expected and Higher Count Before You Sign
Before booking, give the resort a realistic attendance range instead of claiming that every invited person is certain to come. A couple expecting 110 guests might ask how the offer behaves at 90, 110 and 130. Those are planning scenarios, not forecasts.
Have the hotel identify the lowest count that preserves the current package, the largest count the preferred dinner layout can hold, and the point at which a different venue or minimum charge applies. This reveals whether the proposal fits the uncertainty of an international guest list.
Booking earlier for 2027 can be useful if it gives time to negotiate that amendment process, reserve an appropriate room block and establish deadlines before invitations or non-refundable travel bookings go out. An early deposit does not itself guarantee unlimited guest-count flexibility. Only the written agreement can do that.
